Privacy Policy

Scale Desk ("we") is responsible for the personal information described here. We aim to follow applicable data protection law, including South Africa's POPIA and, where relevant, the GDPR.

What we collect

Account details: name, business name, email address and a scrambled (hashed) password.
What you add: leads, clients, freelancers, proposals, messages, files, quotations and payment records.
Other people's details you enter: such as a client's or freelancer's name and email. You must have a lawful reason to give them to us.
Technical data: your IP address and basic request logs, used for security and to prevent abuse.
Payments: card details are entered on our payment provider's page and never reach our servers. We store the amount, date and reference.

Why we use it

To run your account, deliver the service, process payments, send emails you ask for or that are needed (confirmations, password resets, message notifications), keep the service secure, and meet legal duties. We do not sell personal information and we do not use your content for advertising.

Who we share it with

A payment provider (Stripe) to take card payments.
An email provider (Resend) to send emails.
An AI provider (Anthropic) when you use the AI assistant. Only the text you submit is sent.
Our hosting provider, which stores the data.
The other person in a room or chat, who sees what you post there.
Authorities, if the law requires it.

Some of these providers are outside your country, so your information may be processed abroad under their data protection terms.

How long we keep it

While your account is open. Project room files are deleted a few days after a room closes. If you ask us to delete your account we remove your data, except what we must keep for legal or accounting reasons.

Cookies and storage

We use your browser's storage to keep you signed in and remember simple settings. We do not use advertising or tracking cookies.

Security

Passwords are hashed, private links are stored hashed, and connections use HTTPS. No system is perfectly secure, so please use a strong password.

Your rights

You can ask to see, correct, export or delete your information, or object to how we use it, by emailing malyonjene@gmail.com. You may also complain to your data protection regulator (in South Africa, the Information Regulator).
